Vehicle Inspections Connected to Maintenance

Photo inspections at pickup and return, damage logged as issues, and repairs tracked through maintenance — one workflow from the moment damage is spotted to the moment it's fixed.

How it works

From inspection to repair in one workflow

No re-typing damage reports into a maintenance log. Each step links to the one before it.

  1. 01

    Pickup inspection

Before the keys go out, staff record the vehicle's condition with photos and notes. The inspection is saved on the rental.

  2. 02

    Return inspection

When the vehicle comes back, the same check runs again, so pickup and return can be compared side by side.

  3. 03

    Issue logged

New damage or a fault becomes an issue on the vehicle with a low, medium, or high severity — linked to the inspection that found it.

  4. 04

    Repair scheduled

Link the issue to a maintenance job. The issue moves to in progress automatically, and the job shows up in the vehicle's service schedule.

  5. 05

    Resolved & on record

Once the repair is done, the issue is resolved. The full trail — inspection, photos, issue, repair — stays linked together.

Photos on every inspection

Attach as many photos as you need to pickup and return inspections.

Draft, then complete

Start an inspection as a draft, finish it at the vehicle, and mark it completed when it's done.

Low, medium, and high severity so the workshop knows what to fix first.

Manual issue reports

Log a problem any time, not just during an inspection.

Maintenance link

Every repair traces back to the issue and inspection that triggered it.

Vehicle history

Issues and maintenance for each vehicle on its own page, linked back to the inspection.

FAQ

Vehicle inspection software — common questions

What does vehicle inspection software do for a rental company?

It replaces paper check-in sheets and photos on staff phones with a record attached to each rental: the vehicle's condition at pickup, its condition at return, and photos of anything that changed. When a customer disputes a damage charge, you have a dated, side-by-side record instead of a memory.

How are inspections connected to maintenance?

Damage or faults found during an inspection are logged as issues on the vehicle, with a severity level. An issue can then be linked to a maintenance job — doing so moves it to in progress automatically — and it's resolved once the repair is done. Every step stays linked, from the inspection photos to the finished repair.

Can staff report problems outside of an inspection?

Yes. Issues can be raised manually at any time — for example, when a customer calls about a warning light mid-rental — and follow the same path to maintenance and resolution.

Do inspections work on a phone?

Yes. FleetWorkflow runs in the mobile browser, so staff can complete an inspection and take photos at the vehicle without a separate app.

Can I export inspection records?

Yes. On the Growth and Scale plans you can export inspections to CSV alongside vehicles, rentals, and customers.
